The Opportunity 

We are excited to hire our Executive Assistant position that will support our VP of Aviation and others as directed by the VP. This role requires you to be local to Miami.  While most of the work will be remote, there will be in person meetings and potential projects based in Miami. We are looking for an Executive Assistant who has the ability to create and drive a project from start to finish. You will be expected to coordinate all travel arrangements as well as be onsite for specific engagements. The ideal candidate is analytically-minded, fast-paced, and detail-oriented that is excited to operationalize and streamline the business process and coordination of VP and designees. 

The Skillset 

• An exceptional ability to build strong relationships with many types of people in a variety of roles, especially executive leadership and our partners both inside the organization and outside 

• Previous experience scheduling meetings/events, travel management and administration work for key executives 

• Outstanding ability to proactively solve problems and prioritize time and tasks

• Are trustworthy, reliable, and maintain strict confidentiality 

• Past experience being a strategic thought partner to executives with the ability to look forward and help predict the needs of those being assisted 

• Ability to adapt and make decisions in a fast-paced, rapidly changing environment 

90 Days at Flock

We are a results-oriented culture and believe job descriptions are a thing of the past. We prescribe to 90 day plans and believe that good days lead to good weeks, which lead to good months. This serves as a preview of the 90 day plan you will receive if you were to be hired as an Executive Assistant Flock Safety. 

The First 30 Days

• Build relationships with the executives you support as well as their teams and cross-functional stakeholders. 

• Shadow the executives to understand their preferences, communication style and key contacts. 

• Become familiar with Flock - learn our OKRs, company history, roadmap, culture, product suite and more. 

• Start driving the agenda for recurring team meetings and ensure updates from members are captured before the meeting. Stay on top of any action items that stem from these meetings. 

• Become familiar with the executives' calendars and travel, understand how you can better optimize meetings and the travel experience. 

The First 60 Days 

• Create templates for common documents, emails and reports to save time and ensure consistency 

• Begin taking over the formatting and presentation for our Aviation Team leadership meetings and Aviation All-hands meetings.

• Proactively anticipate the executive's needs and prepare for last-minute requests 

• Take ownership of specific projects or initiatives. 

• Elevate travel for the executives by collecting pre-work before customer meetings to ensure the most efficient, well-run meetings. 

90 Days & Beyond 

• Collaborate with the executives to establish goals for the next quarter, create an action plan with clear milestones and deadlines.

• Closely maintain the calendars of the VP and designees, and play a key role in accelerating the pace at which their teams operate. 

• Begin anticipating what is coming next and prepare the VP and designees to get ahead of those issues.

1. Our First Chat: During this first conversation, you’ll meet with a recruiter to chat through your background, what you could bring to Flock, what you are looking for in your next role, and who we are. 

2. The Hiring Manager Interview: You will meet with your potential future boss to really dive into the role, the team, expectations, and what success means at Flock. This is your chance to really nerd out with someone in your field. 

3. The Panel: Learn more about the team, responsibilities, and workflows. You should be prepared to speak about past projects, how you collaborate and communicate with others, and how you live our values. Depending on the team and role you are interviewing for, you may meet with several teammates as well as cross-functional partners. 

Salary & Equity

In this role, you’ll receive a starting salary between $80,000 and $90,000 as well as Flock Safety Stock Options. Base salary is determined by job-related experience, education/training, as well as market indicators. Your recruiter will discuss this in-depth with you during our first chat.
