Job Description:

Executive Assistant
Crewe (Onsite)

What This Role Is All About

The Executive Assistant provides high-level executive, governance, and organisational support to the EMEA leadership team. Acting as a central coordination point for senior leaders, the role oversees complex diaries and meetings, supports board and governance activity, and ensures key decisions, actions, and records are accurately documented and maintained. As the first point of contact for executives and visitors, you'll coordinate a wide range of meetings and events while handling sensitive information with professionalism, discretion, and sound judgement.

If you're highly organised, proactive, and thrive in a fast-paced environment, this could be the perfect opportunity for you. You'll be a confident communicator with excellent attention to detail, the ability to manage competing priorities, and a passion for providing exceptional support to senior leaders. If you enjoy creating structure, building strong stakeholder relationships, and making a real impact behind the scenes, we think you'll be a great fit for our Executive Assistant role.

Your Key Areas of Focus

  • Coordinate EMEA Board, Executive and Leadership Team meetings, ensuring effective governance, administration and adherence to regulatory requirements.
  • Track leadership actions, commitments and deadlines, proactively following up with stakeholders to ensure completion and accountability.
  • Prepare, distribute and maintain board papers, agendas, minutes, action logs and formal records, ensuring accurate documentation of decisions and approvals.
  • Manage governance documentation, records and processes to support audit, compliance and regulatory obligations.
  • Provide high-level executive support to senior leaders, enabling focus on strategic priorities through effective planning, organisation and coordination.
  • Manage complex diaries and schedules, prioritising competing demands and aligning executive time with business priorities.
  • Coordinate domestic and international travel, accommodation, visas, itineraries and logistics for senior executives and leadership teams.
  • Organise meetings, events and leadership forums, including venue bookings, catering, teleconferencing facilities and stakeholder communications.
  • Prepare executive briefings, presentations, reports and meeting packs, ensuring leaders are fully prepared for key discussions and decision-making.
  • Handle highly sensitive and confidential information with discretion, maintaining robust filing, data management and information security practices while building strong relationships across EMEA and global stakeholders.

What We’re Looking For

  • Significant experience providing executive support to senior leaders, board members and leadership teams within complex, fast-paced organisations.
  • Strong understanding of corporate governance processes, including board administration, minute-taking, decision recording and action tracking.
  • Exceptional organisational skills with strong attention to detail and the ability to maintain accurate records and documentation.
  • Proven ability to manage multiple priorities independently, anticipate requirements and adapt quickly to changing business needs.
  • Highly skilled in producing concise, accurate and professional written communications, including meeting minutes, reports and executive documentation.
  • Excellent stakeholder management skills, with the confidence and credibility to engage effectively with senior leaders, clients, suppliers and colleagues.
  • Demonstrates sound judgement, discretion and professionalism when handling confidential, sensitive or commercially important information.
  • Experienced in working across multiple functions, locations and time zones, building strong relationships and ensuring effective coordination.
  • Proactive and results-focused, with the confidence to follow up senior stakeholders, monitor actions and drive commitments through to completion.
  • Advanced Microsoft Office skills combined with strong administrative capability, including diary management, expenses processing, annual leave administration, computing requests and delivering exceptional customer service.
