Your work decides whether a new colleague's first day starts with signed papers and a working HR account, and whether the office is ready when they walk in.
You work with HR colleagues across our locations, Accounting, IT, hiring managers and the office's suppliers.
The Customization Group is a global leader in mass customization and print-on-demand e-commerce. We manufacture up to 2.5 million personalized products daily across production sites in Germany, Poland, the USA and Latvia, reaching customers through 20+ online shops and 1,000+ partner stores. 750+ people, 40+ nationalities, 10 locations.

The role
What you'll do
→ Run on- and offboarding admin. Paperwork done by day one and the last day; new hires set up in HiBob and shown around it.
→ Keep the office running. Supplies, kitchen, cleaning coordination and maintenance, so the office is stocked and problems get fixed fast.
→ Handling employment documents. Coordinate the signing of Contracts, appendices and orders, plus accurate records in HiBob (our HRIS) and Moneo, so payroll inputs arrive on time.
→ Answer HR system questions. First stop when employees or managers get stuck in HiBob or an HR process.
→ Keep people informed. Announcements on time; birthdays, work anniversaries and milestones never missed.
→ Organise internal events. Company events and engagement activities, on plan and on budget.
→ Handle office administration. Travel bookings, invoices and expenses to Accounting, supplier and company-car documents renewed in time, and guests welcomed.
What you bring
Skills and experience, not personality types.
Must have
→ Typically 2+ years in HR administration, ideally with office admin too.
→ Working knowledge of Latvian labour law: employment contracts, appendices, orders, absence and leave rules.
→ Experience keeping employee data accurate in an HR system, and handling it confidentially.
→ Fluent Latvian for employment documents, and working-level English for colleagues across our locations.
→ Confident with everyday digital tools: MS365, Canva and AI assistants such as Claude or ChatGPT.
Nice to have
→ Hands-on experience with HiBob (or similar HRIS) or Moneo.
→ Coordinating office suppliers, cleaning or maintenance vendors.
→ Organising internal events on a budget.
